By registering, downloading, or using the Milkman service (collectively, the "Service"), you consent to the collection, storage, and processing of your information as outlined in this policy.
1. Important Information and Who We Are
Milkman provides free route optimization, digital ledger, billing, and inventory software for independent milkmen, dairy farmers, and distributors. 2. Information We Collect
We collect and process different kinds of personal and business information depending on how you interact with the Service:
A. Account and Profile Data
- Milkman / Dairy Owner Profile: First name, last name, business name, phone number, email address, custom tax numbers, and business logo.
- Staff Credentials: Name, phone number, login credentials, and assigned delivery routes.
B. Customer Ledger Data
- Customer Profiles: Customer name, phone number, email address, delivery addresses, and primary route coordinates.
- Milk Logs: Daily milk quantities delivered (Morning/Evening/Custom slots), unit prices, custom rates, variants (cow milk, buffalo milk, etc.), and holidays.
- Financial Logs: Auto-generated invoices, billing status, payments logged (cash, advance payments, online collection histories), and customer ledgers.
C. Location Data
- Web and App Location Services: GPS coordinates of customer delivery addresses to build optimized route structures.
- Device Tracking: Real-time or coordinate-based location data from staff devices to verify successful milk deliveries on their assigned routes.
D. Technical and Usage Data
- IP address, device type, OS, unique advertising identifiers (such as Google Advertising ID / GAID or Apple ID for Advertisers / IDFA), browser characteristics, network connectivity, and application crash log logs.
3. Mobile App Device Permissions
To provide offline operation, local Bluetooth printing, and delivery verification, the Milkman mobile app requires the following device permissions. We only request these permissions when they are actively needed for the app's functionality:
- Camera Access: Required to scan payment QR codes or scan customer codes, and to take and upload business profile images/logos.
- Microphone and Speech Recognition: Required for the hands-free voice entry feature, allowing dairy owners to speak daily milk entry values (e.g. "5 Liters Buffalo Milk") to record logs. We do not store or transmit raw audio files; the audio is processed locally and immediately converted to text records.
- Location Services (Background & Foreground): Required to geotag customer delivery addresses, optimize morning delivery routes, and track coordinates for proof of delivery. Background location is only accessed during active delivery cycles.
- Bluetooth Connection (Bluetooth Admin/Scan): Required to detect, pair, and connect to local Bluetooth thermal printers to generate physical paper receipts for customers.
- Notifications: Required to send real-time alerts about delivery confirmations, route updates, billing cycles, or invoice status.
4. Offline Local Database & Syncing
Our mobile application is designed to function seamlessly in remote areas without internet access. It utilizes a secure offline local database (Hive/SQLite) to cache accounts, customer lists, and daily entry logs. When internet connectivity is restored, this local data is securely synchronized with our cloud servers using Laravel Sanctum tokenized APIs.
5. How We Use Your Information
We use the collected information for the following business purposes:
- To authenticate and manage user, customer, and staff accounts.
- To perform daily calculations, billing sums, and compile PDF invoice sheets.
- To send automated templates and bills via WhatsApp Web integrations or Meta API hooks.
- To verify delivery routes and resolve M2M network disputes.
- To protect the security of the application and prevent fraudulent behavior.
- To serve non-intrusive advertisements that allow us to provide the platform 100% free.
6. Google AdSense, AdMob & Cookies
To sustain development and server costs without charging a monthly subscription, we display third-party advertisements served by Google AdSense (on the web) and Google AdMob (in the mobile application).
- Google and other third-party vendors use cookies and unique device identifiers to serve personalized or non-personalized ads based on your visits to our Service and other internet destinations.
- Google's use of advertising cookies enables it and its partners to serve ads to our users based on their visits to our sites and/or other sites on the Internet.
- You can customize or opt out of personalized advertising by visiting the Google Ad Center or by modifying privacy settings inside your mobile device (e.g., "Limit Ad Tracking" on iOS or "Opt out of Ads Personalization" on Android).
Strict Ledger Privacy: We never sell, share, or rent your private business ledger data, customer telephone lists, or delivery logs to Google or any other advertising broker. All advertisement networks only access generic cookies and system-level device IDs.
7. Data Security and Storage
All data sent between the mobile app, web portal, and servers is encrypted using industry-standard SSL/TLS protocols. We restrict access to database systems to authorized administrators and apply firewalls, backups, and security scans. However, no transmission method is 100% secure, and we cannot guarantee absolute security.
8. Data Retention & Account Deletion
We keep your personal information only as long as your account remains active or as required by financial auditing regulations. If you choose to delete your account through the settings panel:
- Your profile, billing accounts, and staff login structures are immediately soft-deleted.
- A background purge job permanently purges non-financial logs (routes, customer details, milk entries) after X days to allow recovery from accidental deletion.
- For auditing, security logs and transaction IDs are retained as required by Indian financial rules before permanent deletion.
9. Your Legal Rights
Depending on your location, you hold legal rights under privacy laws (including India's Digital Personal Data Protection Act / DPDP Act, GDPR, and CCPA). These rights include:
- The right to access the data we store about your business.
- The right to correct inaccurate customer or business profiles.
- The right to withdraw consent for location or permission usage.
- The right to request the complete deletion of your account and files.
